Qualification
The Administration and Finance Officer should have the minimum qualification as follows:
Education and experience
Master’s degree in commerce or business studies with 1 year of relevant experience.
Knowledge
Good knowledge in accounting and office management.
Good knowledge in human resource management.
Good knowledge in administration.
Skills
Should have good skills in interpersonal relationship (IPR).
Should have good skills in financial and office management.
Should have excellent computer skills, especially in MS Word and Excel.
Good analytical ability.
Good communication and coordination skills.

Should be self-controlled, enthusiastic and self-motivated.
Should be cooperative, friendly and hard worker.
Specific Requirement:
- Major duties and responsibilities
1. Administration
Assist Managing Director (MD) in the day to day administrative functions of the office and in his public relation.
Be responsible for general up-keep of the building and its premises.
Ensure that all the office machines and communication systems are in good order.
Ensure proper maintenance of all records and files.
Maintain attendance register and leave records of all office staff.
Supervise subordinate staff and organise and conduct internal meetings and write minutes of the meetings, draft letters and memos to organizations and regular clients.
Maintain a cordial relationship with line agencies and governmental organizations.
Brief the Managing Director (MD) on the state of affairs regarding the staff on regular basis.
Compile periodic report on the general administration.
Assist the Managing Director (MD) in evaluating the performance of staff.
Take initiation for procurement/purchase of supplies and other materials.
Maintains office equipment inventory and manages storage & stock keeping.
Ensures proper security of office buildings and properties.
Negotiates with agents, land lords and suppliers, vendors.
2. Financial Management:
Appraise him with the financial rules and regulations as specified and upkeep the financial system independently conforming to audit and other requirements.
Maintain books of accounts in the computer and updates these periodically.
Prepare salary disbursement statement and vouchers for all the staff.
Maintain personal accounts of all the staff in proper order.
Check and verify all the bills and documents before paying to the parties.
Maintain vouchers and documents in perfect order.
Prepare monthly daily projection of cash for requisition.
Prepare periodic financial statements and reports.
In addition to above duties, the Administration and Finance Officer may be asked to perform other relevant duties as deemed necessary by his supervisor.
Manage to pay government returns and taxes business and update any changes in the tax rules and regulations.
Check vouchers, journal entries against each transaction and signs vouchers etc.
Check entries in ledger/computer in accounting package.
Receive bank statement, agrees to bank ledger, and prepare reconciliation.
Check approvals, returns for journal entries.
3. Budget Planning
Assist to prepare and compile yearly budget in the coordination with all concerned parties and staff members.
Support for organizational strategic planning.
4. Recording and Reporting
Prepare and submit financial statement and monthly expenses to Managing Director (MD) for approval.
Keeps up-to-date record of Provident Funds and other benefit packages provided to staff.
5. Monitoring
Chase up outstanding floats and advances, and prepares monthly financial statement of transactions for monitoring variances.
Prepare the queries for the unclear and incomplete information and documents of accounts.
Produce financial information, budget-monitoring information regularly to help programme and supervisor in monitoring budget and expenditures.
6. Coordination
Coordinate logistics supplies and other general administrative & security issues.
Collect information received from internal and external sources and support the staff in circulation of information.
Alias with all concerned persons.
7. Meetings
Attend meeting and other meetings as necessary.
8. Others
• Be a role-model for staff.
• Maintain integrity and accountability of the position.
